5 AV steps to ensure that your event is stressful and remembered for being terrible (and how ProductAV comes to your rescue)

  1.  Overestimate how much you think you can do on your own with audio, visual and lighting components.
You are the head honcho. You sit at the head of the table and carve the turkey every Thanksgiving. Surely you can carve into this event just as easily. You know you can customize your own burrito, and have it turn out perfect – why not do the same for the AV at your event? You don’t need an experienced AV team, they just need to show up with the things that you ordered, plug a few things in, and punch a few buttons. You’ll be able to figure it out from there. Don’t forget, you turned on a lightbulb using a potato once. You have all the experience you need already, how hard could it be?
How we go the extra mileWe are here to make your ideal event a reality – but we aren’t afraid to share a word of caution either and tell you something can be done when it cannot. If we know of a better solution than the one you had in mind, we are more than happy to share that knowledge, especially if it makes it more affordable. Every client is a true partnership with ProductAV. With our combined 30 years of experience working in concert with your creative vision – the results will be better than you could have imagined.

  2. Underestimate what is actually needed to make your event go smoothly.
Do you like puzzles? Are you the Tetris champion in your hometown? If so, you should probably enjoy figuring out where your equipment goes last minute. Maybe you can enlist some of your guests to help shift things around as needed that way, you can market your event as “interactive.” Test your guests’ agility by creating an obstacle course of power cords, full of trip hazards and insurance claims. Better yet, turn your event into an improv exhibition as all your vendors try to guess where they need to be and when. Improv is hilarious and your guests will be talking about it for years to come.
How we go the extra mile:
You can always tell when an event is running smoothly and when it is not – the stress on the event planner’s face and hurried rushing around is a telltale sign. Through our years of experience, the team at ProductAV has seen it all and have finely tuned our AV strategies to ensure seamless events. We will study your venue and tailor each solution to that specific space and crowd – we know where the boogiemen like to hide in any plan and can make sure yours are eradicated. Once a plan is in place, we recommend walking through the steps with us so that together we can identify and rectify any questions you may have. Our goal is to make your vision come to life and we keep you informed every step of the way so there are no (bad) surprises.

  3. Accepting vague quotes with no breakdown of line items and what they mean for your event’s success.
If the company does take the time to return your call or email, you don’t really need to know what they are bringing. Surprises are the spice of life, after all. Why would you want to spoil it with a line item estimate that explains in detail what you can expect? The AV company surely knows what they’re about, there’s no need to go into the specifics. Maybe it’s your lifelong dream to compete on The Price Is Right and you chance has come at last. Come on doooowwwn!
How we go the extra mileProductAV wants you to be confident in and comfortable with the services that we will bring for you. Our clients can find peace of mind in knowing exactly what they are getting and why. Our goal is for you to be fully aware of every aspect of your AV before the event starts so you have everything you need and nothing you don’t. This reduces the chances of costly mistakes, misunderstandings, and frustration and affords you the ability to enjoy the event worry-free after all the work you put into planning it.

  4. Trying to save a buck in the wrong area. Lighting, schmighting. Who cares?
Lights on, lights off. What more is there to lighting an event? You know enough that your guests probably shouldn’t be in the dark. Unless, of course, you’re having a glow-in-the-dark party, which should never be out of the question. Plus, there’s a certain appeal to those fluorescent overhead lights in the styling of cheap office buildings. That incessant buzzing noise creates an undeniable ambiance. There are so many options to choose from, so why choose at all? No one goes to these events expecting to be able to see everything that’s important.

How we go the extra mile: Ironically, lighting is one of the “invisible” ways to direct the desired mood and energy of an event. It would be a shame to have an event where every other AV component is flawless, but have the lighting miss the mark. ProductAV technicians are well versed in how to get the most out of the lighting at an event at any venue – whether it is to create a warm, intimate environment or to excite and invigorate a crowd. Lighting is one of those things where your guests may not comment when it is just right, but they will definitely notice when it is wrong.

  5. Partnering with a hard-to-get-ahold-of-even-when-its-critical AV company
When you work with ProductAV, you can be rest assured that you are never forgotten. We pride ourselves in quick and effective responses, the kind that a partnership deserves. It’s true that time is a valuable commodity, and we would not want for our clients to spend it worrying about whether they can expect a solution from us. We care about the success of your event, and efficient communication all the way through the planning process is key to ensuring that your needs are not only met but exceeded.
How we go the extra mile: Time is money, right? That is why so many people want as much time to themselves as possible. You’re a busy person. You don’t want some AV person constantly nagging you over every little detail. You hired them to get stuff done, so they should be able to figure it out themselves. There is nothing more reassuring when planning an event than reaching out to a company that takes about 3 weeks to get back to you. Sit back, relax, maybe enjoy something on Netflix. They’ll probably show up to your event and everything will be just fine. What they do isn’t that hard anyway and you’ll be able to figure it out on your own.
